What is a Formal Letter?

A formal letter is one that is written in a formal and dignified language and adheres to a specific structure. Such letters are sent to authorities, dignitaries, professionals, seniors, and so on, rather than to personal connections, friends, or relatives. When writing formal letters, a number of rules must be followed.

I'd like to bring to your attention that I am my parents the eldest son and my father places a great deal of reliance on me in this respect.
 
In the circumstances, I earnestly pray and hope that you would be kind enough to grant me three days' leave in advance with effect from 11th August. I will be eternally grateful for your act of kindness.

Ours is a renowned and older school in Dhaka but the lack of a computer club at our school is a major disappointment. We live in a scientific era. We can't imagine science without computers. It is quite useful in many aspects of life, particularly for students. This school's learners are really interested in learning more about computers. Many pupils will learn how to use a computer if a computer club is established at our school. They will be able to put this information to the greatest possible use in their daily lives. On the other hand, many of us aren't able to buy a personal computer. To keep pace with the present world we have to equip ourselves with proper and perfect knowledge of computers. As such, we want to study computer science like any other subject. 

We, therefore, pray and hope that you would be gracious enough to take the required measures to start a computer club at our school as soon as the new academic year begins. We will be eternally thankful to you for this act of charity.

We are doing well in other subjects, but the majority of us performed poorly in English on past college exams. Furthermore, for those of us who are not fluent in English, regular lessons are insufficient. If you could organize some additional English sessions for us to assist us to cope with our weaknesses in this area, that would be fantastic. We feel that our English proficiency will help us achieve fantastic achievements. On the contrary, many of us aren't financially able to study with a private tutor. If you don't arrange extra classes, all our hopes and success will be nipped in the bud.

How to write a Formal Letter?

Follow the guidelines below to draft a formal letter to a person concerned or get higher marks.
  1. Properly address or welcome the person concerned, such as Greetings, Sir/Madame.
  2. Always include the reason for drafting the letter.
  3. Keep your letter brief. In the opening paragraph, explain why you're writing the letter. Do not overstretch the letter.
  4. The letter's tone should be very courteous and not confrontational.
  5. Write in a suitable format and pay attention to letter appearance.
  6. Give the proper address and date.
  7. Include the recipient's name and designation accurately.
  8. The letter should be concluded with appreciation. "Thank you" for taking the time to read the message, and then finish with "Yours genuinely or really," followed by your name and signatures.
